Privacy Policy

Overview

Happywash is the first AI-native car wash CRM, built on top of the POS you already run — starting with Sonny's. Because our platform sits between a car wash and its members, we handle two broad categories of information: data about the businesses and people who use Happywash directly (our customers), and member data that we process on a car wash's behalf. This policy describes both, and the sections below call out which is which.

Information we collect

We collect information you provide, information generated as you use Happywash, and information synced from the systems you connect:

• Account & contact details — names, work email addresses, phone numbers, business names, locations, and role, provided when you request a demo, create an account, or contact us.
• Usage data — log and device information such as IP address, browser type, pages viewed, and actions taken inside the product, used to keep Happywash secure and working well.
• Connected POS & business data— membership records, transactions, plans, and wash activity synced from your POS (for example, Sonny's) once you authorize the connection.
• Communications — messages, support requests, and feedback you send us.

How we use information

We use information to operate the CRM and deliver the AI features car washes rely on. Specifically, we use it to:

• Provide, maintain, and improve the platform, including syncing and reconciling data from your connected POS.
• Power AI features — drafting member communications, surfacing at-risk members, building reports, and answering questions you ask the product.
• Secure our services, detect and prevent fraud or abuse, and troubleshoot issues.
• Communicate with you about your account, product updates, and (if you've opted in) relevant offerings.
• Comply with legal obligations and enforce our agreements.

We do not use the member data we process on a car wash's behalf to train shared, cross-customer AI models, and we don't sell personal information.

Car wash member & POS data

When a car wash connects its POS, Happywash processes member data — such as member contact details, plans, and wash history — as a processor acting on the instructions of that wash, which is the controllerof its members' information. In practice that means:

• The car wash decides what data is connected and how it's used within Happywash; we process it to provide the service.
• We handle member data under our agreement with the wash, including any data processing terms that apply.
• If you're a member of a car wash and have questions about your data, please contact that wash directly — they control it. We'll support them in responding to your request.

How we share information

We share information only where it's needed to run the product or required by law. We never sell personal information. We may share it with:

• Subprocessors — vetted vendors that provide infrastructure on our behalf, such as cloud hosting, databases, analytics, and AI model providers, each bound by confidentiality and data-protection obligations.
• Integration partners — POS and other systems you choose to connect, so data can sync between them and Happywash.
• Legal & safety — authorities or third parties when required to comply with law, enforce our terms, or protect the rights and safety of users.
• Business transfers — a successor entity in connection with a merger, acquisition, or sale of assets, subject to this policy.

Data retention

We keep information for as long as it's needed to provide the service, meet the retention instructions in our customer agreements, and satisfy legal, accounting, or reporting requirements. When a car wash ends its relationship with Happywash, we delete or return the member data we processed on its behalf within a commercially reasonable period, except where we're required to retain it. Backups are purged on a rolling schedule.

Security

We use technical and organizational safeguards designed to protect information, including encryption in transit and at rest, access controls, least-privilege permissions, and ongoing monitoring. No system is perfectly secure, so we can't guarantee absolute security — but protecting operator and member data is core to how we build and operate Happywash.

Your choices & rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. You can:

• Update your account details, or ask us to, at any time.
• Opt out of marketing emails using the unsubscribe link or by emailing us.
• Request access to or deletion of personal information we hold as a controller by contacting us at the address below.

Where we process member data as a processor for a car wash, we'll route such requests to that wash and help them respond.

Cookies & analytics

Our marketing site and product use cookies and similar technologies to keep you signed in, remember preferences, and understand how the site is used so we can improve it. You can control cookies through your browser settings; disabling some may affect how parts of the service work. We use a small number of privacy-respecting analytics tools and do not use cookies to sell your information.

Children's privacy

Happywash is a business tool intended for car wash operators and is not directed to children. We don't knowingly collect personal information from anyone under 16. If you believe a child has provided us information, please contact us and we'll delete it.

Changes to this policy

We may update this policy as our product and the law evolve. When we do, we'll revise the “Last updated” date above and, for material changes, provide additional notice where appropriate. Continued use of Happywash after an update means you accept the revised policy.
